PAYROLL – Contingent & Student Employee Timesheets Due Early

Attention Contingent Staff, Student Employees, and Supervisors:

Timesheets are due early because of the upcoming holiday. Therefore, please use the electronic web timesheet program to complete and approve the Student and Contingent Timesheets (for pay period ending 12/26) by noon on Friday 12/19/2003.

Note: Contingent/student paychecks for last pay period (ending 12/12) will be mailed on Tuesday 12/23/2003.

– Supervisors:
Please verify that a timesheet for each of your employees is listed.
1. Be careful in determining that an electronic timesheet does/does not exist. The employee may see and complete the timesheet while the supervisor cannot see the timesheet because the approval group routing has NOT been set up.

2. Please do NOT use the Select All function if any of your employees have zero hours. Instead, click on each employee’s name to open up the timesheet for review and approval.

3. Changes: Please use the Quick Change Form http://www.towson.edu/finserve/payroll/Payroll_Quick_Change_Form.pdf to request pay rate changes or to report the names of student employees who no longer work in your department and should be terminated from the payroll system.

– Student Employees and Contingent Staff:
Please verify that you can access an electronic timesheet for each job that you hold on campus.

1. If you cannot access your computer account or if you see a message, “you have no active timesheet”, call 4-5151 or send an email to the CANS Help Center. This message usually indicates a discrepancy between your Empl Id and social security number.

2. If you are working multiple jobs, please use military time format to complete your timesheets. With multiple jobs, regular time format may be considered as overlapping hours and be deleted.

It is important to keep in mind that if a supervisor does not approve a timesheet, that student or contingent employee cannot be paid. If you have any questions regarding this message, please call the Financial Services Help Line at 4-5599. Thank you.
