Benefits Bulletin: Workday Q&A – the new Online Benefits Enrollment System

As previously communicated, the state of Maryland Employee Benefits Division is launching Workday this fall.  Please review the Q&A below to learn more about Workday.

1. What is the SPS Workday for Benefits Project?

The name SPS stands for State Personnel System.  SPS Benefits is the Maryland state-wide benefits tool that will replace the current Benefits Administration System, update and enhance existing benefits business processes and provide online benefits enrollment for faculty, staff, and retirees.

2. What is Workday?

Workday is an on-demand (cloud-based) human capital management software vendor.

3. What are some benefits of Workday?

  • One centralized benefits system
  • Online benefits enrollment
  • Reduces manual paperwork
  • Instant access to reports and information

4. What will faculty and staff be able to do in Workday?

  • Initiate a life event change such as a marriage, birth of a child, divorce, etc.
  • Enroll and elect benefits as a new hire.
  • Enroll and change benefits during open enrollment.

5. Will faculty and staff be able to change their name and/or address in Workday?

These changes must be reported to the TU Office of Human Resources by completing a new W4 form.

6. When does Workday go live?

Workday is scheduled to go live on October 8, 2015.  As of this date, faculty and staff will be able to review their current benefits elections, personal data, and dependent information.  Faculty and staff will also be able to initiate life status changes as of this date (i.e., marriage, birth, divorce).

7. How do faculty and staff access the SPS Workday for Benefits system once it goes live?

Workday will be accessed through a web browser right from your PC.

8. When is open enrollment and will faculty and staff use Workday for open enrollment elections and changes?

Open enrollment begins October 15, 2015; faculty and staff will use Workday for open enrollment elections and changes.

9. What is happening to the current benefits system used by the state of Maryland?

The current system will shut down in the summer so the records can be migrated to Workday.  The benefits coordinators in each agency will have view only access to Workday during the summer.

10. How will faculty and staff learn the new system?

Training sessions will be available during open enrollment.  Online resources and other training materials will also be available.
